Fugara User Guide
Use this guide for everyday work in Fugara: arranging visits, recording work, sharing reports, preparing invoices, and monitoring client sites. It also covers the company settings an owner or office administrator uses to support the team.
The responsibilities below are not required job positions. One person may set up the client, perform the work, finish the report, and prepare the invoice. In another company, an office employee may prepare the visit and a technician may record the work. Follow the part that matches the task in front of you.
The order of records matters
Most of Fugara follows this sequence:
- A company contains the team and its records.
- A client is the organization or site receiving service.
- An instrument belongs to that client.
- A work session represents one appointment or visit.
- Time, mileage, materials, notes, and outcomes are recorded against that work session.
- A service report and an invoice may be created afterward. They are separate documents; either one can exist without the other.
The most common prerequisite
To schedule or log work, you need an active company, a client you are allowed to edit, and at least one instrument for that client.
Start with the task you need to do

A normal service visit from beginning to end
For a scheduled visit, the full workflow is:
- Confirm that the client and instrument exist.
- Add a contact subscribed to Appointment confirmations and changes and/or Appointment reminders if Fugara should send those messages.
- Schedule the visit from Calendar, Work History, or a maintenance reminder.
- On the day of the visit, open Work Tracker and choose the assigned work.
- Record each task, plus any materials, notes, and mileage.
- End the tracker and submit an outcome.
- Return to Work History and mark the work session Complete when the shared visit record is finished.
- Create a service report, an invoice, both, or neither, depending on the job.
Ending Work Tracker saves its logs. It does not mark the work session complete. This lets another technician add work or an office employee review the record before it is closed.
Find your way around
- Dashboard shows upcoming work, due maintenance reminders, company statistics, a job time estimator, monitoring alerts, and setup prompts.
- Calendar shows work sessions for the active company.
- Work Tracker records timed work.
- Route Planning organizes saved trips, manual stop order, client agreements, and access constraints.
- Clients opens the client list in a multi-client company. Open a client to use its Overview, Work History, Invoices, Service Reports, and Monitoring pages.
- Probe Fleet is the gauge/thermometer shortcut at the top of the screen.
- Companies is in the person menu at the upper right.
- The Active Company selector is at the bottom of the side menu when you belong to more than one company.
In single-client mode, Fugara selects the company's only client automatically. The Clients list is hidden and the client tools are labeled as site tools.
Keep private and client-facing information separate
Fugara deliberately separates different audiences:
- Internal Notes are private company notes.
- Client-facing Service Summary is information intentionally suitable for a client-facing history or document.
- Service reports are structured service documents.
- Invoice Details explain the work behind an invoice but are not a service report.
Review client-facing text before publishing or emailing it. Do not put private diagnostic, personnel, or pricing notes into a client-facing summary.
If the expected button or client is missing, see Common problems before re-entering the record.
