Work History and Detailed Logs
Work History is the durable record of a client's visits. Use it to schedule new work, enter work after the fact, review tracker submissions, correct time or cost details, and begin reports or invoices.
Before you begin
To add or change work, you need an editable client with an instrument. View-only users can review the client-safe parts allowed by their access but cannot alter the record.
Understand incomplete and completed work
An incomplete work session may be scheduled for the future, actively being worked, or waiting for additional submissions or review.
A completed work session means the shared visit record is closed. Completed work can be used for service reports and billing records.
Ending Work Tracker does not complete the work session. This separation is useful when several technicians contribute or an office employee reviews the record afterward.
Enter completed work without running a timer
Use this for paper notes, historical work, or a technician who records the visit afterward.
- Open the client and choose Work History.
- Choose Log Completed Work.
- Select the instrument.
- Enter the actual start and, if known, the actual end.
- Select the Fugara technicians and list any people without accounts under Additional Technicians.
- Record goals, outcomes, the client-facing summary, and internal notes as appropriate.
- Indicate whether a service report or billing is expected.
- Save the work session.
- Open Details to add individual time, material, and mileage logs.
Use Client-facing Service Summary only for information suitable for the client. Internal Notes remain private company information.
Import a pasted session log
Pasted-log import is useful when the work was recorded in a text note or another timer. It is available when logging work and from Calendar's add-work form.
- Choose Import Pasted Log.
- Paste one session or several sessions into Session Log Text.
- Begin each separate session with a date line such as
3/4/24 - (9.33). - Use timed lines such as
10:20-10:25 AM: Setting upfor time logs. - Review the instrument, technicians, goals, outcomes, summary, and notes.
- Choose Import Work Session(s).
Timed lines become time logs. Untimed lines are appended to Additional Notes. Temperature and humidity lines are ignored because probe readings belong in Monitoring. The fallback date and time is used only when an imported session does not contain its own date line.
Review Work Session Details
Open Details for a work session. Before completing, reporting, or billing, review:
- scheduled and actual times;
- instrument and technicians;
- goals, outcomes, client-facing summary, and internal notes;
- time, mileage, and material logs;
- reports already linked to the work; and
- probe conditions recorded during the work window.
Use Edit for the session-level record. Use the Time, Mileage, and Materials sections for the detailed logs.
Work History identifies incomplete and completed visits. Open the relevant session's Details to review its record rather than adding the same visit again. When offered, Start Tracker begins your assigned visit and Start Report or Continue Report opens its service-report draft.
Add or correct time logs
Choose Add Time to record a technician's work. Select a Fugara technician or enter an alternate technician, describe the task, choose the work type, and enter its time and billing amounts.
- Work Hours is the billable or productive quantity for the entry.
- Work Rate is an hourly rate.
- Flat Cost is added once to that entry.
Check the actual start/end times as well as Work Hours. A task's elapsed duration and the productive or billable hours entered for it can differ.
When the work type is travel, Fugara can split one travel entry across other work sessions on the same date. The current work session is always included.
Add or correct mileage logs
Choose Add Mileage and enter the technician, description, distance, rate, and any flat cost. Mileage can also be split across other work sessions on the same date.
When splitting travel time or mileage, review the other work sessions selected for that date. The split allocates the entry across those visits; avoid adding the full trip again to each visit.
Add or correct material logs
Choose Add Material, describe the item, select its material type, and enter quantity and total cost. The material cost is the total for the complete entry, regardless of quantity.
Update rates in a group
Select several entries in a Time, Mileage, or Material section and choose Edit Selected. Bulk edit changes only the displayed rate or cost field; the descriptions, quantities, times, and other details remain unchanged.
This is useful when field workers record quantities and an office employee adds current billing rates during review.
Use an entry's Edit or Delete action for an individual correction. Review the confirmation before deleting, and check any linked invoice or published report afterward. A correction to work does not rewrite a document already issued or published.
Finish the work session
When all participants have submitted and the record is ready:
- Review the outcome and logs.
- Choose Complete.
- Create a service report if the client needs a service document.
- Create an invoice if the work is billable.
Reports and invoices are independent. Completing the session does not create or send either one.
Select several sessions for follow-on work
Use the checkboxes in Work History to select one or more sessions, then choose Add Service Report or Add Invoice. Clear the selection when finished so the next action does not unintentionally include an earlier visit.
Next: Create reports and invoices.
