Route Planning
Open Route Planning in the main menu to maintain company trips, team itineraries, or alternative plans. Company owners, administrators, and company-wide technicians can use the planner. Site-scoped accounts and client portal users cannot view company itineraries.
Create a plan
Choose New route plan, give it a name, and optionally describe its purpose and team. Select team members to enable warnings about other plans on the same day. Choose working hours, a timezone, and whether the team returns to base or stays on the road. Dates, starting location, and overnight notes are optional.
Select one or more clients and choose Add selected clients. Use Move up and Move down to arrange stops. A client may appear more than once for separate visits. Assign dates to divide the trip across days. Visit and travel minutes are optional estimates, not required work-log durations. Unknown values remain unknown. Directions opens the client's address in Google Maps; Fugara does not calculate driving times, traffic, routes, or automatic stop order.
Save to retain changes and refresh constraint warnings. Warnings cover access hours and weekdays, advance notice, working hours, estimated overlaps, dates out of order, linked appointment differences, and shared visits/team members in other coordinating or active plans. Team warnings are conservative day-level checks, not exact availability calculations. Return travel and overnight logistics must be checked manually. Freeform exceptions are not interpreted.
Coordinate visits
Each stop tracks Proposed, Awaiting response, Confirmed with client, or Needs reconfirmation. Confirmation requires a date, arrival time, and a note recording who agreed and how. An optional latest-arrival time represents an agreed window. Editing a confirmed stop's date, arrival window, client, linked visit/request, or plan timezone requires reconfirmation after saving. Changes to the linked appointment are also flagged when the planner reloads.
Client access rules are shared across plans: weekdays, access hours, client timezone, minimum notice, unlocking/contact requirements, and exception notes. Existing client scheduling notes are shown alongside each stop. Access rules describe when a visit could be arranged; they never constitute client agreement.
Plan edits do not create/reschedule appointments or send client messages. Use Work history / schedule visit or Client requests for the existing scheduling workflow, then refresh the planner and link the resulting work log. Choosing a request with an existing visit fills that work-log link. Open the linked work log to start the existing tracker, manage the appointment, or mark work completed. Refresh plans to see current completion and appointment status.
Alternatives and archive
Use Draft / testing for alternatives, Coordinating while arranging visits, Active for a current trip, and Archived to retain an old plan. Save after changing status. Choose All plans or Archived plans to find older records.
Duplicate as draft copies the itinerary and work links, but resets client confirmations. Save the copy to keep it. No new work logs or messages are created. Removing a stop only removes it from the plan. Full company backups include plans, stop links, team members, and client access rules.
Concurrent edits are checked on save. If another user saved first, your draft stays visible with a conflict message; copy any needed changes before refreshing. Unsaved drafts survive navigation inside the current company but not a page reload or company switch. Save before leaving. This feature requires a network connection and does not change Work Tracker's offline behavior.
