Track Work as It Happens
Work Tracker records timed tasks while work is being performed. It can add to a scheduled work session or create a new work session from an unscheduled visit.
Before you begin
You need:
- an active company;
- an editable client;
- an instrument for that client; and
- at least one active company work type.
A scheduled work session is helpful but not required. If another person prepared the visit, ask them to assign you so it appears under What Are You Tracking?
Start with assigned work
Use this path for a scheduled visit:
- Open Work Tracker.
- Under What Are You Tracking?, find the client, instrument, date, and goals for the visit.
- Choose Start Tracking on that work session.
- Review the selected work session, optionally enter a Start Time and starting odometer, then choose Start Tracking to begin. Leave Start Time empty to use the time you confirm.
- Confirm that the connected-work card shows the expected goals.
Your time, tasks, materials, mileage, notes, and outcome will be added directly to that shared work session.
Start a blank tracker
Use Blank Tracker for emergency calls, unscheduled work, or a visit that was not prepared in advance.
- Choose Blank Tracker.
- Select the client and instrument.
- Leave Start Time empty to use the current time, or enter the actual earlier start.
- Optionally enter a starting odometer.
- Choose Start Tracking.
When you end, Fugara lets you attach the tracked work to a suitable existing work session or add a new one. If it detects another session for the same client and instrument that day, review that choice before creating a duplicate.
Record one task at a time
The running time belongs to the current task.
- When the task is finished, describe what you completed.
- Confirm the suggested Task Type, or choose the correct type yourself.
- Leave End Time empty to use the current time, or correct it if needed.
- Add mileage for that task when appropriate.
- Choose Next task to save it and immediately start the next timer.
Use Continue on the latest completed task if you ended it too soon and want to resume it. You can also edit a completed task's description, type, and end time. Changing its end time also moves the start of the following task so the timeline remains continuous.
Continue is available for the latest completed task when the new current task is still blank. If it is disabled, check whether you have already entered details for the new task. Record breaks or other non-productive time using the appropriate company task type so the timeline and productivity totals are useful.
Record mileage
For each task, choose:
- No mileage when none should be recorded.
- Miles driven to enter the distance directly.
- Odometer reading to calculate the distance from the previous reading.
If there is no earlier odometer value, the first reading establishes the baseline. The next odometer reading creates the mileage amount.
Add materials and notes while the timer runs
Open the collapsible Materials or Notes sections at any time.
For a material, enter a description, confirm the material type, enter quantity, and optionally enter the total cost and notes. Total cost means the cost for the whole material entry, not the cost of one unit.
Tracker notes are added to the work session's additional and internal notes when tracking ends. Keep private information out of a note if another workflow will later copy it into client-facing text.
Materials and notes can be edited or removed before submission.
Record temperature and humidity
Use the readings panel in Work Tracker during the visit. If automatic environment probes cover the visit, Fugara uses those readings without manual entry. Otherwise, choose a Reading location, enter temperature, humidity, or both, and choose Record reading. The observation time is set on submission.
If needed, choose + Add a new location, name it, and select Fahrenheit or Celsius. Use separate locations for separate chambers or rooms. You can record multiple observations and edit or remove readings from the tracker list. Guest helpers can use existing permitted locations; staff create new locations.
Readings save on the device and synchronize with the tracker queue. They become the same readings shown in Monitoring. Service reports freeze the applicable visit readings at publication; you do not re-enter them in the report.
Correct the client or instrument during tracking
Choose Change client or instrument from the running tracker. Fugara keeps everything already tracked.
If the tracker was connected to assigned work, moving it disconnects that assignment. Fugara will create or select a different work session when tracking ends. Review the destination carefully.
End and submit the tracker
- Finish the current task description and type.
- Choose End tracking.
- Enter a short Outcome describing the result of the work. This is required.
- If this was a blank tracker, choose an existing work session or choose to add a new one.
- Choose Confirm end tracking.
The tracker converts its timed tasks, mileage, materials, notes, and outcome into the work session record.
One more lifecycle step may remain
Ending tracking saves your work but does not mark the shared work session complete. When all participants have finished, open Work History and choose Complete. A report or invoice is also a separate later step.
Use Discard tracking session only when none of the tracked information should be kept.
Work without a reliable connection
Task time continues when the page is closed. If the connection drops, Fugara saves tracker changes on that device and synchronizes them when the connection returns.
Watch the status near the top of Work Tracker:
- Offline means you may keep working on that device.
- Waiting to sync means saved changes have not yet reached the server.
- Server Up to Date means synchronization has finished.
Do not clear browser storage, switch devices, or sign out while changes are waiting to sync. If synchronization reports an error, reconnect and choose Try again.
Let an outside helper track work
An editable incomplete work session has a stable Copy Helper Link action. The helper does not need a Fugara account.
The helper:
- Opens the link.
- Enters their full name.
- Uses the same task, material, mileage, and note workflow.
- Ends tracking and submits an outcome.
Fugara adds the helper's name and logs to the scheduled work session. The session remains incomplete until an authorized Fugara user completes it. The link stops working after the work session is completed or deleted.
